This privacy policy explains how Suirside Mediation collects, uses and protects information you give me when you contact me through the website, book a call, or use my services.
Who I am
Suirside Mediation is the trading name of Tríona O'Flynn, sole trader, based at Garrencasey, Newcastle, Clonmel, Co. Tipperary, E91 XD56. I am the data controller for any personal information you share with me.

What I collect
I collect only the information I genuinely need to provide mediation services. Depending on how you interact with me, that may include:
- Your name, email address, and phone number when you contact me or book a call
- Brief details of your situation that you choose to share
- Names and contact details of other parties involved in a mediation, where relevant
- Notes I take during pre-meetings and sessions
- Signed agreement-to-mediate documents and any final written outcomes
Why I collect it
I use your information only to:
- Respond to your enquiry
- Arrange and conduct mediation or coaching sessions
- Draft any written agreements or memoranda following sessions
- Keep records as required by my professional accreditation with the Mediators' Institute of Ireland
- Meet legal, tax, and regulatory obligations
The legal basis under GDPR is one of the following, depending on the situation: your consent, the performance of a contract for services with you, or my legitimate interest in running a professional practice.
Confidentiality
Confidentiality is fundamental to mediation. Anything you share with me during a free 20-minute call, a pre-meeting, or a mediation session is treated as confidential and is not disclosed to anyone outside the mediation process, except in the following circumstances:
- Where you give me explicit permission to share something
- Where there is a serious risk of harm to a person, particularly a child
- Where I am required by law to disclose information (for example, under a court order)
- Where information needs to be shared with my professional indemnity insurer in the event of a complaint
This is set out in more detail in the agreement to mediate, which both parties sign before any joint session.
How long I keep your information
I keep client files for seven years from the conclusion of a matter, in line with professional and tax obligations. After that, paper records are securely destroyed and digital records are permanently deleted.
If you contact me but do not go ahead with mediation, I delete your details within twelve months unless you ask me to keep them for future use.
Who has access to your information
Your information is held by me alone. I do not share it with marketing companies or third parties for commercial purposes.
The following third-party services process limited information on my behalf, all under data processing agreements that comply with GDPR:
- Calendly for online booking: stores name, email, and the time you booked
- Google Workspace for email and document storage: stores any emails you send me and any documents I prepare
- Netlify for website hosting: standard server logs only, no personal data
Cookies and analytics
This website uses minimal technical cookies that are necessary for the booking widget to function. I do not use any tracking, advertising, or analytics cookies, and there is no third-party advertising on this site.
If I add analytics in future, I will use a privacy-respecting tool that does not require a cookie banner and does not collect personal data.
Your rights
Under GDPR you have the right to:
- Ask what information I hold about you
- Ask for inaccurate information to be corrected
- Ask for your information to be deleted, where I am not legally required to keep it
- Withdraw consent at any time
- Lodge a complaint with the Data Protection Commission (www.dataprotection.ie)

If this policy changes, the updated date at the top of the page will reflect that. Material changes will be communicated to existing clients directly.
